Loyola Marymount University’s Academy of Catholic Thought and Imagination department is seeking a part-time regular Senior Administrative Coordinator. This position will provide day to day support for the Director as well as administrative support for the Special Assistant to the President.

Additional responsibilities include: develop and review presentations, prepare confidential and non-confidential letters, memoranda, forms, reports, proposals, and other print or mail documents; schedule appointments and maintain personal and public calendars and distribution lists; handle travel arrangements and conference registration, process all travel reimbursements; set up and maintain filing systems, proofread, duplicate and distribute documents; prepare agendas and minutes for meetings. Additionally, the incumbent will answer multiple phone lines as well as organize large events including an inaugural program for the Academy. On a semester basis, the incumbent will also create, manage, review, and award applications for faculty fellowships and annually for post-doctoral fellows.

Job Requirements

We seek candidates that typically possess a Bachelor’s Degree in Administration or related field. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes. Minimum 4 years office experience, preferably in an academic environment with the general understanding of the Catholic Church and an ability to engage others in conversation on this topic. We also seek candidates that demonstrate knowledge in the areas of: standard office procedures, filing, online research, data collection and analysis, event planning, and writing. Ability to analyze, manage, multi-task, execute day-to-day operation is a must. Essential to be able to maintain a high level of confidentiality and a high level of patience and demonstrate exemplary communication skills (both written and oral) is required. It is also necessary to demonstrate computer competency and preferably knowledgeable of Microsoft Office Suite (Word, Excel and PowerPoint) and Internet.
