Description

The Office Assistant provides secretarial and clerical support to the Director of Religious Education. Input and maintain all records of students and families, K-8th grade from the public school sector. Organizes, monitors and performs the day-to-day function within the Religious Education office and serves as liaison between students, parents, volunteers and other staff members.

Responsible to: Director of Religious Education

Compensation: The position is part-time, 10 months , 20 hours a week, Sunday through Wednesday.

Duties and Responsibilities:
Input and maintain all family registrations and parish records in Parish Soft Database.
Sort daily incoming mail.
Answer incoming telephone calls for the purpose of screening calls, transferring calls, responding to inquiries and/or tracking messages.
Prepare bulk mailings per current postal regulations and take to post office.
Enter all sacrament records in Parish Record books, prepare certificates for Eucharist.
Receive visitors to main office with a professional manner and answer any inquiries by parents.
Coordinate and maintain all inventory needs for classrooms, supply rooms and library.
Prepares monthly newsletter for distribution to all families and Catechists (electronically as well as hard copy).
Work in collaboration with parish school’s secretary to maintain and establish records.
Type all correspondence, lists, agendas, letters – Spreadsheets/Formulas – Excel.
Mail merge letters and labels.
Coordinate hospitality for meetings.
Maintain and publish master calendar of all Church Religious Education events.
Assist Director in tracking of Safe Environment Diocesan requirements.
Present at all parent and student Sacrament Preparation meetings (quarterly).
Assist with all catechist needs – copying, library check out etc.
Assist in preparation of all materials for Sacrament Preparation program – maintain and upkeep of all records.
Perform duties as assigned for the purpose of ensuring the efficient and effective function and operation of the Religious Education program and office operation.

Position Specifications/Requirements
Active member of a Roman Catholic parish faith community or possesses the knowledge of and is willing to function in a manner consistent with the mission of the Catholic Church
Advanced computer skills, including Microsoft office products, Word, Excel and PowerPoint
Ability for maintain confidentiality
Ability to learn new software programs as needed
Interpersonal communication skills
Knowledge and familiarity with use of office machines such as copier, postage meter, fax etc.
Demonstrate ability to set priorities and organize work effectively and work independently
Bi-lingual (Spanish) preferred

Education, Training and/or Experience.

Experience in working with the general public.
High school Diploma or equivalent.
