Job Description
Executive Secretary/Office Manager

The Executive Secretary/Office Manager of the Vocation Office for the Diocesan Priesthood works directly with the Vocation Director in providing assistance with all secretarial needs and in caring for the regular work flow of the office.

Duties Include:

Answer telephone and serving as receptionist for the office.

Responsible for Admissions secretarial work, i.e. collection and filing of all admissions materials.

Provide bookkeeping, financial records/reports, pay bills.

Secretarial needs involved with planning events, organizing groups across the Archdiocese of Philadelphia related to the work of the office.

Assist Director and seminarians with Apostolate/Field Education Program.

Schedule keeping for all meetings and coordination of schedules with appropriate departments for programming.

Office supplies – ordering/maintaining.

Mail – open, distribute.

Filing – organization and maintenance.

Typing letters/memos/correspondence for the Director.

Copying and arranging supplies needed for various programs.

Other duties as assigned.

Coordinate Association of Priests Parents Day of Recollection in Spring and Luncheon in Fall.

• Oversight of the activities Programs of the Office

• Assist in the ongoing maintenance of the Website and other Social Media for the office

General Qualifications:

Mature, positive individual with experience in office skills such as book keeping and word processing.
Desire to work with Young People especially regarding vocation ministry.
Good computer, website, and social media literacy/aptitude/organization.
Demonstrates dynamic interpersonal skills.
Exhibits leadership skills and excellent communication skills.
Demonstrates ability to be collegial, working in diverse groups.
Ability to organize and staff projects as assigned.
Ability to establish and maintain effective working relationships with the Seminary, Archdiocesan entities and Parishes.

Education and Experience:

Bachelor’s degree.
Experience in program management and church ministry.
Practicing Catholic with unequivocal commitment to all church teachings.
Respect and love for the Catholic Priesthood. (71)
