Ascension Press is seeking a highly experienced Executive Assistant to the President for our suburban Philadelphia offices in West Chester, PA. This key administrative position will assist the president in all ways, performing various administrative tasks, organizing his calendar and work flow, while keeping him informed of actions taken and next steps required. A high level of professionalism, discretion, highly organized, with a keen attention to detail, and the ability to handle numerous projects simultaneously in a fast-paced environment are key requirements for this position.

• Manage president’s executive and personal / family calendars
• Evaluate and organize requests, identify potential conflicts with time resources, and determine appropriate actions for resolutions
• Organize detailed itineraries, travel and hotel arrangements for president
• Receive, place, and route president’s incoming mail, paperwork, and inquiries
• Conduct online research and work in close coordination with COO
• Review and edit correspondence and respond independently as appropriate
• Organize all details and needs for in-office and external meetings
• Prepare and handle confidential correspondence, reports, and other documents
• Identify situations that require immediate action by the president
• Collect and prepare information for executive staff and outside individuals
• Other duties as assigned

Professional Skills:

• Comfort and ability to work in a fast-paced, deadline driven environment
• Proficiency with Microsoft Office Suite, Google Calendar and other Google apps
• Familiarity with common technology and applications and ability to learn new technologies
• Ability to write professional letters, memos, emails
• Exceptional organizational, time management and planning skills
• Excellent interpersonal skills and diplomatic savvy
• Positive, professional telephone presence


5 plus years prior administrative experience in a fast-paced environment required.
