Ascension Press is seeking an Executive Administrative Office Assistant for our suburban Philadelphia offices in West Chester, PA. This full-time position requires excellent attention to detail and the ability to juggle multiple administrative tasks for several executive team members in a faith-filled, collegial, fast-paced, and deadline driven environment.

Duties:

• Place and route phone calls and take and relay phone messages
• Manage various executive calendars
• Evaluate and organize requests, identify potential conflicts with time resources, and determine appropriate actions for resolutions
• Organize detailed itineraries, travel and hotel arrangements for executive team
• Receive, place, and route appropriate incoming mail, paperwork, and inquiries
• Compile documents and files on special projects and initiatives
• Conduct occasional online research
• Review and edit correspondence and respond independently as appropriate
• Organize meetings, disseminate materials and take meeting minutes when required
• Various administrative duties: filing, copying, scanning, faxing, and data entry
• Other duties as assigned

Professional Skills:

• Exceptional organizational, time management and planning skills
• Excellent interpersonal skills and diplomatic savvy
• Comfort and ability to work in a fast-paced, faith-filled deadline driven environment
• Proficiency with Microsoft Office Suite, and familiarity with Google Calendar and other Google apps preferred
• Familiarity with common technology and applications and ability to learn new technologies
• Highly organized with excellent time management skills
• Ability to write professional letters, memos, emails
• Positive, professional telephone presence

Experience:

Prior executive assistant and/or high level administrative assistant experience in a fast-paced office environment required.
