Development Assistant Job Description
The Augustine Institute serves the formation of Catholics for the New Evangelization. Through our academic and parish programs, we equip Catholics intellectually, spiritually, and pastorally to renew the Church and transform the world for Christ.
The Augustine Institute seeks a part-time Development Assistant to support its growing development operations. The Development Assistant will have a head and heart for the mission of the Augustine Institute, and will understand how the daily work of development contributes to the mission. The Development Assistant will join a focused, professional team, will work in an office environment, and will have the opportunity to develop an expertise in the leading non-profit fundraising software package, Blackbaud’s The Raiser’s Edge.
Reports to: Director of Development
Interacts regularly with: Accounting, Executive Assistant to the President, video production team
Hours/week: 20-24 (part time)
Work on site three days/week.
Attention to detail as it pertains to data entry and event planning.
Comfortable working in an office environment.
Comfortable with Excel and other standard office software.
Flexible schedule to support events (often Thursday or Friday evening, occasional weekends).
Experience with Raiser’s Edge or other fundraising software.
Experience with direct mail campaigns.
Experience in hospitality and event planning.
Experience in office administration.
Familiar with the teachings and administrative structure of the Catholic Church.
1. Daily Tasks
Gift entry: ensure all fields (amount, salutation, name, address, constituent code, attributes, etc.) are correct and up to date for each donation received.
Touch entry: Each time AI “touches” a constituent that “touch” should be recorded in RE. “Touches” include mailings, emailings, in-person visits, event attendance, personal notes from the director or president, etc.
Data maintenance: Add/update constituents from each of the many sources, including Lighthouse Catholic Media / Ignatius; Website Survey; Website Request for Info; Admissions / Salesforce (prospective students); Current students (on campus and distance ed); Alumni (upon graduation and updating as necessary); other sources of prospective student info?; board members; event attendees; lists shared from other institutions; Mass attendees; Constant Contact; Net Communities; returned mail; recurring donors; etc.
Ad hoc data clean-up: review list for next mailing or emailing, and ensure that each critical field is correct.
Monitor email accounts: info@, rsvp@, [email protected], etc.
Action track tasks: work with the Director to develop appropriate action tracks for each constituent, and perform tasks flagged for each constituent.
Documentation: work with the Director to document each task to develop the in-house Development Policies and Procedures Manual.
2. Weekly tasks
Prepare acknowledgements of all gifts for signature of Director (once/twice per week); send; record in RE; file hard copy(?).
Flag gifts above $250 for acknowledgement by President (once/twice per week); send; record in RE (upload scan of the note, attach to Media).
3. Monthly tasks
Monthly reconciliation with Accounting of gifts recorded in RE with AI’s general ledger.
Monthly reconciliation with Admissions of Education Edge and Raiser’s Edge.
Monthly reconciliation with Marketing: Constant Contact, Salesforce, website sources, Formstack, etc.
Charge credit cards of BBNC monthly donors and record gifts.
4. Annual Tasks
Colorado Gives Day (Dec 9) Support: coordinate preparation, training, and promotion.
Support Christmas Card mailing.
Prepare Year End Tax Gift Receipts (mailed on or before Jan 31st of each year).
5. Occasional tasks
Event support: Ensure catering and hospitality standards are excellent and within budget; coordinate rental, catering, video, audio, cleanup; Organize and direct volunteers;
Board meeting support: prepare reports as requested.
Inventory: letterhead, envelopes, thank you cards, etc. Inform Brenda when supplies are low. AI Apparel also?
Grant writing support: as assigned.
6. Other duties as assigned
