BOOKKEEPING/ACCOUNTING COORDINATOR

This position reports to the Executive Director.

Under the direction of the Executive Director, the Accounting Coordinator will keep, maintain and reconcile all accounts for NJRTL, its entities and chapters. The candidate must be pro-life and fully support our mission. Interacts and works cooperatively with NJRTL Auditor, Treasurer and other professional vendors on a regular basis as needed. Works with Auditor and Treasurer to provide necessary figures and information whenever necessary to comply with state and federal laws. Maintains the general ledger on the QuickBooks system and assumes responsibility for timely posting.

Works in conjunction with the Membership Coordinator to ensure all balances correspond and items are uniformly coded to the proper accounts. Deposits contributions into appropriate bank accounts and keeps records and receipts of all deposits. At the direction of the Treasurer and Executive Director, prepares spreadsheets and profit and loss statements, budget data and balance information as needed. Keeps all accurate vendor files. Prepares various state and Federal PAC reports. The candidate must keep record of all important filing deadlines and ensure that they are met. After invoices are approved by NJRTL Executive Director, prepares and mails all invoice payments for the organization and county chapters. Obtains summary information for all county leaders and prepares necessary reports. Performs specific payroll duties. Reconciles payroll to the general ledger quarterly to insure proper payroll tax return filing. Ensures all 1099 forms are sent to appropriate individuals on January 31st of each year and mails copies to appropriate government agency by February 28th of each year. Maintains all financial files in a orderly manner including tax returns, audits, budgets, monthly operating reports and bank reconciliations/statements. Will keep Executive Director informed as to line items that may approach or exceed budgeted figures. Assists in handling phone calls and other office duties. Assist other office staff during periods of low activity and as necessitated by workload.

Candidate must be proficient in Quickbooks, Microsoft Office, especially Microsoft Excel and Outlook and provide at least three professional references.
