POSITION DESCRIPTION

POSITION TITLE: Assistant to the Chief Development Officer

DEPARTMENT: Stewardship

LEVEL: Group I

POSITION SUMMARY:

The Assistant to the Chief Development Officer provides administrative and secretarial support for the Chief Development Officer (CDO) and those administrative and professional members attached to the Department of Stewardship. The position facilitates immediate communication between the CDO and those who contact the Stewardship Department. The Assistant also supervises an administrative assistant in the Department.

CREDENTIALS & EXPERIENCE:

Position requires a minimum of 15 years experience in administrative assistance to higher management position(s). Also requires a detailed knowledge of office systems and communications software applications. Shorthand or transcription required. Knowledge of the Catholic faith is essential, and knowledge of the hierarchical structure of the church helpful. Excellent written, verbal and interpersonal communication skills required. Position also requires a strong sense of confidentiality and experience with very confidential matters.

REPORTS TO: Chief Development Officer

DUTIES & RESPONSIBILITIES:

1.* Receives, sorts and opens (as appropriate) all incoming written correspondence.

2.* Screens and directly handles telephone calls and email messages for the Chief Development Officer, redirecting or answering inquiries as appropriate.

3.* Performs all normal secretarial functions, including keyboarding, typing, dictation and/or transcription, filing and duplication.

4.* Maintains all files for the Chief Development Officer and the Stewardship Department; periodically transferring less active files and eliminating older files; responsible for transferring archival information to the Archdiocesan Archives.

5.* Maintains the confidentiality of all confidential information involving the Stewardship Department.

6.* Responsible for maintaining appointment calendar, scheduling and coordinating appointments as directed.

7.* Prepares correspondence.

8.* Responsible for assisting, making and confirming travel arrangements, including transportation and accommodations.

9.* Handles the Stewardship Department financial matters, including billing, payment of bills and check requests.

10* Serve as recording secretary at meetings, including the taking, transcription and dissemination of minutes.

11.* Maintains a variety of contact lists, including donors, prospective donors, priests, pastors, deans, Archdiocesan Pastoral Council, Presbyteral Council, archdiocesan commissions and boards, and related associations.

12.* Orders and maintains inventory of supplies and equipment, and orders equipment service.

13.* Functions without supervision when delegated.

14.* Available for occasional weekend and evening work.

15. Trains and supervises administrative assistant.

16. May require appointment as a Notary Public.

17. May perform minor office cleaning and maintenance.

18. Performs other duties deemed appropriate to the position.

SUPERVISION RECEIVED:

Works under the direction of the Chief Development Officer.

SUPERVISION EXERCISED:

Supervises other support staff and/or temporary staff in the Stewardship Department.

TERMS OF EMPLOYMENT: Salary : 7 hours per day : 35 hours per week : 260 Days : 12 months

Compensation includes a comprehensive benefits package.

***At this time, it is anticipated that this position is project based and will terminate at or around the conclusion of the project, which is estimated to conclude in approximately two years.***
