The Church of Saint Catherine of Siena is seeking an Administrative Coordinator who is capable of carrying out a wide variety of responsibilities in a fast-paced work environment. The ideal candidate will be service-oriented and possess a broad range of organizational, interpersonal, and oral and written communications skills.


Office Management
– Serve as the general source of Parish information for the public
– Receive and direct visitors, phone calls, and general written correspondence (i.e., letters, emails, and faxes)
– Manage the Parish calendar
– Manage the Parish database – Parish Data System (PDS)
– Keep sacramental records
– Coordinate the Gift Shop
– Track and order office supplies (e.g., copy paper, pens, etc.)
– Provide support to the custodial staff as needed
– Keep the minutes of staff meetings and Finance Council meetings
– Coordinate groups using Parish facilities
– Coordinate office volunteers

Administrative Assistance to the Pastor
– Assist with the preparation of correspondence
– Manage the Pastor’s calendar
– Provide daily administrative support as needed (e.g., organization of the Pastor’s office, filing, special projects, etc.)

Capital Campaign Administration
– Record pledges and payments in the Parish database
– Compose pledge reminder letters
– Generate delinquency reports as needed
– Assist with Campaign programs and events

Digital Communications
– Maintain the Parish website (i.e., update content, upload bulletins, etc.)
– Prepare Constant Contact email communications
– Manage the Parish Facebook and Twitter accounts
– Manage the Parish photo library

Event Planning
– Support Parish event planning and execution
– Build collaborative relationships with other Catholic organizations in New York City


Advanced proficiency in Microsoft Office (Word, Excel, and PowerPoint)
Advanced proficiency in the Mac OS X environment, especially Apple Mail, Contacts, and Calendar
Advanced proficiency in the use of common office equipment, including copiers and scanners
Strong oral and written communications skills
Exceptional organizational skills and attention to detail
Ability to learn specialized nomenclature, systems, and procedures (both technological and otherwise)
Ability to prioritize multiple demands on time and attention in a fast-paced office
Ability to handle sensitive situations appropriately, with discretion and confidentiality
High level of energy and enthusiasm
Willingness to be an active listener and a team player
Familiarity with Roman Catholic terminology and practices
Commitment to the mission of the New Evangelization


Monday-Friday, 8:30 a.m.-5:30 p.m.
Occasional weekends and weeknight meetings
