ADMINISTRATIVE ASSISTANT (PART-TIME)

DIVISION OF EDUCATION
To perform a full range of secretarial and clerical functions for a University department or program, including assistance with key departmental administrative tasks
DUTIES AND RESPONSIBILITIES:
•Act as initial contact person for the division, in person, on the phone and via email. Screen visitors, calls and emails, and refer to appropriate office or person as required. Answer questions about department/university policies, procedures, fees, schedules, events, services, programs, and the like; assist with completion of forms. Place calls as requested.
•Provide university and divisional materials and information as required.
•Perform basic administrative and clerical duties, including preparing a variety of written materials (correspondence and minutes), photocopying, faxing, filing and basic data entry.
•Coordinate the data gathering, entry and preparation of documents and reports for division.
•Coordinate the collection and analysis of student, faculty and course records.
•Organize and maintain a variety of general and specialized department/program files and records, both paper and computerized.
•Take, prepare and distribute minutes of divisional meetings as necessary.
•Sort and distribute incoming mail. Prepare outgoing mail.
•Photocopy and collate various materials.
•Maintain appointment calendars and set up meetings.
•Assist Office Manager on projects.
•Coordinate Division records.
•Prepare for Accreditation/NEASC reports involving data collection and documentation.
•Performs additional duties as assigned.
•Ability and willingness to support the mission of the university and the division, in all daily activities
•High School diploma, plus three to five years of relevant experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
•Strong customer service skills.
•Strong computer skills, including, MS Office, Word and Excel.
•Excellent typing/word-processing, spelling, filing, reception, and other general office skills. Good basic reading, writing and math skills. Some training or experience in use of computerized filing/data base management systems.
•Good basic administrative and organizational skills.
•Effective and positive organizational, communication and problem solving skills.
•Ability to positively work with a wide variety of internal and external constituents.
•Strong personal integrity and ability to hold oneself accountable.
•Ability to coordinate multiple projects and meet deadlines.
•Ability to use discretion in handling confidential information.
