The Office of Christian Formation in the Catholic Diocese of Richmond seeks a part-time Administrative Assistant to support the Associate Director by providing excellent customer service, communications and program support. In addition, the Administrative Assistant assists other offices with office initiatives and program support such as the planning, registration, administrative and financial aspects of office events. The position will answer phone calls, distribute mail, respond to e-mail, and greet visitors for the Associate Director; maintain accurate budget records; prepare billing and record payments for all events including processing expense reimbursements; develop RegOnline registration system for all events assigned by the Associate Director and provide support to include, coordinating logistics, provide assistance on site at events; prepare and assemble all necessary materials to be used at each sponsored event; assist in reviewing website and maintaining current content; provide coordination of Catechist Training to include finding a host parish, process registrations, track catechists in training.
The qualified candidate will be able to maintain confidentiality; have strong computer skills including Microsoft Office (Word, Excel, Publisher, Outlook, and Expression Web); ability to multi-task, be organized, prioritize, and be detail oriented; have prior customer service experience. A High School Diploma is required but a College degree is desired. Must have prior administrative experience of at least 1 year as well as previous customer service and project/event planning experience. This position is for 21 hours a week which may be filled in a three day schedule. Occasional weekend work is required in the Pastoral Center or off-site at local Christian Formation events as needed. Should have a solid understanding and appreciation of the Catholic Church’s mission and teachings.
